TL;DR: Ask every customer at the moment they are happiest, send your direct review link by WhatsApp or SMS, keep the message short, and reply to every review you get. Do not buy reviews, offer rewards, or only ask the customers you expect to be positive. All three break Google’s rules and can get reviews removed.
Reviews do two jobs. They help decide where you rank on Google Maps, and they decide whether a searcher picks you or the business listed next to you. Most Kenyan businesses have plenty of happy customers and very few reviews, because nobody asks at the right moment. That is an operations problem, and it has an operations fix.

Why Reviews Matter
Google says review count and rating factor into local ranking, and that replying shows you value customers (Google Business Profile Help). Recency matters too: a steady flow this quarter says more than a pile from three years ago. Our guide to ranking higher on Google Maps shows where reviews sit among the other factors.
For the customer, reviews answer what no advert can. Is this business real? Is it good at the job? What happens when something goes wrong?
The Rules You Must Not Break
| Don’t | Why |
| Buy reviews | Removal, possible suspension, damage to your name |
| Offer discounts or gifts for reviews | Breaks Google’s policies |
| Ask only customers you expect to be happy | Against policy, and it shows in your rating pattern |
| Write reviews for customers | Fraudulent and detectable |
| Ask staff or relatives | Conflicts of interest, often removed |
The safest approach is also the one that works best: ask everyone, honestly, at the right moment.
When to Ask
Timing matters more than wording.
| Business | Best moment |
| Restaurant or cafe | As the customer pays and says the meal was good |
| Clinic or salon | At checkout, straight after the appointment |
| Contractor or repairs | At handover, once the customer has checked the work |
| Shop or online store | After delivery is confirmed |
| Hotel or lodge | At checkout, or in the thank-you message |
| B2B service | After a milestone, not only at the end |
Hotels and restaurants rely on reviews more than most; see local SEO for hotels and local SEO for restaurants for how they fit into the wider plan.
How to Ask
Get your direct review link. Your Google Business Profile gives you a short link that opens the review box directly. If you have not set the profile up fully yet, start with our Google Business Profile optimisation guide.
Send it where your customers reply. WhatsApp gets the best response for most consumer businesses. SMS works on any phone. A QR code at the counter or on receipts works in person. Email suits B2B clients.
Keep the message short. Two sentences: thank them, say reviews help other people find you, include the link. Do not tell them what to write, do not ask for five stars, and do not promise anything in return.
Make it easy for staff. Save the message as a WhatsApp quick reply, print the QR code at reception, add “ask for a review” to the job completion checklist, and give one person responsibility for it.
You can also automate the ask, so every completed booking or sale triggers the message without anyone remembering to send it. Our AI automation service sets up this kind of follow-up.
Replying to Reviews
Positive reviews: reply to all of them, briefly and personally. Mention the service where it is natural. Avoid identical copy-paste replies.
Negative reviews:
- Reply within a few days, calmly
- Name the specific issue rather than giving a general apology
- Say what you have changed, if anything
- Offer a phone number or email to continue privately
- Never argue or reveal private details in public
- Ask for removal only if the review breaks Google’s policies, such as spam or off-topic content
A calm, specific reply to a two-star review often persuades readers more than a wall of five-star ratings.
Build It Into the Week
| Stage | What happens | Who |
| Trigger | Job done, bill paid or delivery confirmed | Front-line staff |
| Ask | Short message with the link | Same person |
| Reminder | One polite follow-up a few days later, then stop | Admin |
| Reply | A response to every review | Owner or manager |
| Review | Monthly look at volume, rating and themes | Owner |
| Improve | Fix complaints that keep coming up | Management |
Where Review Routines Break Down
- Asking once, then never again
- Sending a long paragraph nobody reads
- Emailing customers who only use WhatsApp
- Running a “review competition” with prizes
- Ignoring negative reviews
- Leaving the review link unused in a drawer
Frequently Asked Questions
How do I get more Google reviews in Kenya?
Ask every customer at the moment they are happiest, send your direct review link by WhatsApp or SMS, keep the message short and unscripted, make it easy for staff to ask every time, and reply to every review.
Can I offer a discount for a Google review?
No. Rewards for reviews break Google’s policies and can lead to reviews being removed. Rely on timing and making it easy instead.
How many Google reviews does my business need?
There is no fixed number. A steady flow of recent, genuine reviews with replies counts for more than a large old total. Look at the businesses ranking near you for a realistic target.
Should I reply to negative Google reviews?
Yes. Reply calmly within a few days, name the issue, explain any change you have made and offer to continue privately. Readers judge your reply as much as the complaint.
Can I remove a bad Google review?
Only if it breaks Google’s policies, such as spam, off-topic content or personal attacks. Genuine negative opinions cannot be removed on request.
Reviews Are One Part of Local SEO
Reviews work best alongside everything else Google uses for local ranking: matching details across local citations and directories, the right words from local keyword research, and proper service area pages on your site. The local SEO checklist puts it all in order. If your profile is missing from Maps entirely, start with why a business is not showing on Google Maps. For the bigger picture, see SEO in Kenya.
